Seeking Skilled Executive Assistant/Real Estate Transaction Manager To Handle Administrative and Contract To Close Process
The GreatLife Team is one of the top producing real estate teams in the Bellingham and Whatcom County. This is a fast-paced organization with a lot of moving parts. We are looking for a qualified person to handle the Administrative, Listing and Contract to Close processes for the Team and Lead Agent. Lindsy Swing, the best Transaction Manager in the industry, will train this person.
A solid understanding of real estate terminology and common building issues is required background. Prior real estate experience is preferred but not required. (You will eventually need a real estate license for this position) We are looking for a DRIVER; Someone who takes ownership of their role and pushes transactionsforward.
You must understand how to manage expectations of buyers and sellers through the listing and transaction process by educating them. You must be able to effectively communicate inspection issues to clients and help them keep their eye on the big picture. You are confident in your approach, you thrive in a fast paced environment, you are customer service oriented to the extreme, organized and systematized so that nothing falls through the cracks.
What You’ll Do:
Manage the Deal: You will play an integral part in ensuring a smooth transaction experience for all clients (Buyers and Sellers, Equity, Short Sale and REO). You will manage the listing and/or contract-to-close processes. This involves preparing listing contracts and purchase and sale contracts, scheduling inspections and reading inspection reports, reviewing all contractual paperwork for completeness, and negotiating on behalf of your client. Working with other Realtors, Scheduling follow up estimates and meeting contractors to understand the whole issue and curing items that need to be fixed quickly for closing. Understanding how to address the walk through issues with regard to RESPA laws.
Inspect what you Expect: Travel to properties to prepare for listing and/or ensure a positive client walk-through. Open the home for inspectors, and check on maintenance issues with property. Engage actively with all contractual requirements ASAP (contact lenders, inspectors, setup walk throughs, schedule and coordinate signings etc.)
Communicate: Serve as liaison between all parties in listings and transactions.Keep clients abreast of the status of their listings and transactions and troubleshoot any issues as they arise.
Serve: Provide a world class, concierge-level of customer service to clients. Push the transaction process forward and advocate for your clients.
Organize and Focus: Build, implement and manages multiple systems. The Executive Assistant is deeply committed to completing tasks the right way with a high degree of quality in support of the Agents on the Great Life Team. This person has immense focus and ensures all administrative tasks of the lead agent’s business continue to be completed to high standards with maximum efficiency.
Own It: You will play a significant role in the success of the business and will take on this responsibility with a sense of ownership, commitment, honesty, and integrity.
Who You Are:
Industry Experience and Education: You have real estate transaction experience or construction knowledge from another industry. You are a licensed Realtor or will get your license fast if hired.
Tech-Savvy: You have the aptitude to learn and use systems such as DropBox, Google Apps, etc.
SUPER Organized: You pay attention to the smallest detail and are able to juggle multiple projects efficiently all while staying focused and keeping a smile on your face. You excel at following up and following through and love checklists. You have the ability to assess, prioritize, act quickly and understand the importance of meeting deadlines. You operate with a high level of professionalism and present yourself as such.
A People Person: You know people. You know how to effectively communicate with people, are solution-oriented, and can Keep Calm and Carry On. You are able to professionally communicate contractterms and issues to clients in a reassuring manner.
The ULTIMATE Team Player: You know that your strengths are best utilized in a supportive role and value the importance of having a strong team. You are willing to work 40+ hours per week with evening/weekend flexibility. You also have a reliable form of transportation and are licensed and insured.
*Required: Candidates must have no more than a 30-minute commute to/from Bellingham*
-3+ years of administrative support experience in a demanding and challenging environment
-Proficiency in MS Office programs is required. Experience using Quickbooks, Google Apps (Gmail, Calendar, Contacts), Acrobat, Photoshop, and CRM Software is highly desirable.
-Excellent attention to detail
-Excellent grammatical, editing and proofreading skills required
-Excellent organizational, filing, time management, and prioritization skills required
-Excellent oral and written communication skills
-Administrative training in business, office administration strongly desired.
-Ability to make solid business decisions, problem-solve, and multitask in a highly dynamic work environment
-Proven ability to exercise high degree of confidentiality and objectivity
-Ability to work in a team setting and conduct and present oneself in a highly professional manner with both internal and external clients and personnel
-Proven ability to set priorities and work independently with little or no supervision
-Ability to receive and provide constructive feedback on work performance
What You Earn: A competitive base salary based on experience and aptitude.
Where: Bellingham, WA
When: Full Time/Flexible. Flexibility on nights and weekends required. We are searching for an exceptional temporary Executive Assistant with the possibility of earning the right to a long-term part time or full time position.
